Xakia is priced per user, per month, so you only pay for what you need. Plans are available month-to-month with no lock-in, and annual subscriptions come with a discount. There's no extra charge for your internal client requesters, for Xakia Connect (your external counsel portal), and no limits on invoices. Much faster than you'd expect. Xakia has been built for easy deployment, with simple configuration choices. Because Xakia is cloud-based, there's no infrastructure to set up. Most teams complete configuration and onboarding within a few days to a couple of weeks, depending on the complexity of your setup. Our team is with you every step of the way.
Xakia connects with the tools your team already uses. Out-of-the-box integrations include NetDocuments, iManage, SharePoint (document management), Docusign (e-signing), Salesforce (CRM), Microsoft Teams, Slack, Outlook and Gmail (communication), SSO providers, and eBilling platforms. There's also an open REST API if you need to build a custom integration.
Yes! Xakia includes full legal spend management and external counsel management. You can track budgets in real time, configure invoice approval workflows, set delegated authority limits, and give external firms access through Xakia Connect (a secure portal for your outside counsel, at no extra cost). Xakia does not set limits on the number of law firms, invoices or spend you can manage through the platform, and it does not take a clip of the ticket on invoices received.
Yes. Xakia has powerful built-in document management, and it also integrates with leading document management systems (DMS) including iManage, NetDocuments, and SharePoint, so you can work with your existing document environment rather than starting over.
Using the Xakia matter management software
Xakia has been built for rapid deployment.
If you are an Admin, you will need to configure your system. We can assist with this, but it should take you as little as 30 minutes to be ready to start adding legal matters.
Once your system is configured, the best place to start is to add a 'matter' (also known as a file or case). Here, you might like to consider creating matter templates to make this step as fast as possible.
Click the ‘+ New Matter’ button in the top right-hand corner of your screen, complete the mandatory fields about who, what, when and why of your matter, and click ‘Save’.
Your work can be displayed and managed on the Card View, List View or Calendar View, and legal analytics can be interactively displayed on the Dashboards.

Yes to both. Xakia provides data import templates to help you migrate existing matter data, and you can export your data at any time. Your data is yours - always.
Highly. You can add custom fields to matters and contracts, build configurable intake forms, set up approval workflows, define role-based permissions, and adjust matter visibility by team or individual. Xakia gives you flexibility without requiring you to call a developer every time you want to make a change.
Xakia comes with 25+ pre-built dashboards and reports covering matter volume, cycle times, workload by lawyer, budget vs. actuals, external spend, risk, and much more. Everything is exportable to PDF or Excel, so your next board report is a few clicks away, not a multi-day data exercise.
Yes. You can filter and customize standard reports yourself within Xakia. For more complex bespoke reporting, our team can assist. You can also export any data set to Excel and work with it there.
Yes. Xakia uses role-based permissions, so you can control access at the individual user, team or matter level. Sensitive matters can be restricted to specific individuals, and external parties (like outside counsel) only see what you share with them through Xakia Connect.
Security is non-negotiable for legal teams, and it's one of our highest priorities. Xakia is certified compliant with ISO 27001, SOC 2 Type 2, and HIPAA. We conduct regular independent security audits, and operate on enterprise-grade cloud infrastructure. You can request our security documentation at any time.
Yes — and we're building more. Xakia uses AI for contract redlining and contract summarization. We're continuing to expand our AI capabilities with a focus on things that genuinely save legal teams time, without compromising accuracy or security. Your data is hosted on secure, enterprise-grade cloud infrastructure in your chosen region. Only authorized users within your organization can access your data. Xakia staff can only access your data with your explicit permission for support purposes. We do not use your for training AI models.
Your data belongs to you - period. If you cancel, you can export all your data before your account closes. We don't hold your data hostage, and we don't delete it immediately; you'll have a reasonable window to retrieve everything you need.
Yes. Xakia supports SSO integration, so your team can log in using your organization's existing identity provider. No extra passwords to remember, and simpler access management for your IT team.
Yes. Xakia is browser-based and works on any device - desktop, tablet, or mobile. Whether you're in the office, on-site, or traveling, you can access your matters from Chrome, Edge, or Safari without needing to download an app.
